Overview:

Working as part of a team, provide administrative and clerical support to the National Officials and Industrial Officers located in the Melbourne National Office. Working a 35 hour week,19 day month

Examples of work performed may include composing routine correspondence, assisting with preparation of routine reports, scheduling meetings or appointments, arranging travel, screening and directing incoming calls, providing information, maintaining files or transcribing dictation.

Required to exercise judgment and initiative in routine matters.

Preparation of documents using a word processor or spreadsheet software, including formatting, proofing and editing for errors.

Job Description:

Draft and type routine correspondence or reports using word-processing or spreadsheet software.

Editing of correspondence including proofreading.

Preparation of Divisional statistical information.

Receive and direct visitors.

Screen and direct telephone calls including the taking of accurate messages for relay and/or follow-up.

Arrange meetings (in-session or teleconference).

Arrange travel and accommodation.

Maintain records or files in accordance with policy and procedures.

Sort and distribute incoming mail.

Diary maintenance.

Photocopy, bind, collate materials as required.

Reservations of National Meeting Rooms and Calendars.

Maintenance of Incoming and Outgoing Mail Register.

Arrange overnight mail satchels to various States.

Posting of National outgoing mail.

Act as backup person as required.

Other duties as directed.

Experience & Qualifications
Essential:

Advanced typing skills with 95% accuracy.
Intermediate word processing skills in Word and Excel or similar applications.
Excellent Oral and Written Expression.
Excellent Oral and Written Comprehension.
Good communication and interpersonal skills to handle extensive liaison with AMWU personnel, employers and other unions. This position has a particular emphasis on confidentiality and high level telephone and email skills, message taking and identification of urgent and critical matters.
Ability to work well in a small team environment and willingness to undertake a variety of tasks to ensure that the work of the area is completed.
Ability to work with limited direction and supervision.
Methodical and accurate approach to work.

Desired:

Knowledge of trade union research and industrial processes or previous experience in a legal area would be highly regarded.

School Certificate or equivalent.
Certificate III or higher qualification OR at least 2 years relevant experience.
Intermediate knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, dictaphone transcribing, designing forms, and other office procedures and terminology.
Structure and content knowledge of the English language including the meaning and spelling of words, rules of composition, and grammar.
Intermediate skills to perform data entry and functions in PowerPoint, Graphics, Outlook and Internet.
Excellent time management and organisational skills and the ability to work to strict deadlines.
