Unions NSW invites applications for the position of Personal Assistant to Unions NSW Officers.

Job Description:

PRINCIPAL PERSONAL ASSISTANT DUTIES

• Typing of correspondence, circulars, submissions, presentations, conference papers, documents, etc.

• Screening of incoming calls, filing, faxing, photocopying, and sorting of officers' mail

• Providing logistical support with campaign activities, such as the preparation of leaflets, and mail-outs, maintenance of records and data bases

• Assisting with the organizing of training courses and conferences including booking of venues and compilation of materials

• Travel arrangements including flights, accommodation, car hire etc.

• Compilation and maintenance of databases

• Diary maintenance including arranging and booking meetings etc

• Assisting with occasional 'out of hours' events such as rallies, functions etc.

• Preparation of Officers' monthly expense claims and cheque requisitions

• Uploading information to relevant websites

• File and serve documents in Industrial Tribunals

SPECIFIC ADMINISTRATIVE TASKS

• Preparing Unions NSW Weekly Minutes as required from time to time

• Recording and maintaining Delegates' attendance records and preparing quarterly letters and statistical details

• Maintenance of "Fair Employer" data base and records and correspondence

• Ordering of office stationery and supplies.

SHARED ADMINISTRATIVE TASKS

• Switchboard relief (as rostered)

• Kitchen duties (as rostered)

• Posting of mail (every second week)

• Organising birthday cakes and teas (as rostered)

• Assistance with the general office 'housekeeping' i.e. distribution of faxes, keeping stationary and general areas tidy

• Assisting with any office duties in an 'overload' situation

• Taking telephone Court Listings and forwarding those details onto the appropriate Officer

Experience & Qualifications
Essential:

• Typing (minimum 60 wpm)
• Shorthand an advantage
• Sound knowledge of Microsoft Office
• Familiarity with e-mail and internet
• Dictaphone

Salary:

• Salary $50,000 plus 9% superannuation

Information:

TERMS AND CONDITIONS

• Three month probationary period

• Five weeks annual leave + leave loading

• 1 rostered day off per month

• Additional days off between Christmas and New Year

• Ten days per annum sick leave

• Office hours: 8.30 am to 5.00 pm with an hour for lunch
